ORDERING DOCUMENTS USING WELDOC
Use of Weldoc is limited to current students, faculty and staff of the Johns Hopkins Medical Institutionswith a Welch Library card that is in GOOD STANDING.
If you have found an article, a book, a thesis or a chapter from a book that Welch does not have in its collections, print or electronic, you may order it directly from Weldoc, an interlibrary loan and document delivery service. The Weldoc Web site permits registered users to order articles which will be delivered electronically usually within 7 working days (Monday through Friday) or to order books from outside the JHU system which are generally received within 2-3 weeks. Requests are limited to 5 per day per user. All requests must conform to U.S. Copyright Law which may sometimes delay the retrieval process. Prior to making your request, check to be sure that the item you are requesting is not available from the Welch collections. If Welch has the journal you are seeking in full-text online, you will get it much more quickly if you retrieve it from our electronic journals list. Books that are owned by other Johns Hopkins libraries (excepting Montgomery County and the Washington Center) can be requested directly by the user from within our online catalog. These requests cannot be processed through Weldoc. We do not fill book requests from the Wilmer collection.
In order to use Weldoc, you must first set up an account. If you make requests via the PubMed Loansome Doc system, you should set up your Loansome Doc account using the same user ID that you used in Weldoc. The system will not work unless IDs are identical. Quick Tip for Reducing Turn-Around Time of Article Retrieval
It is best practice to always check the following places before you fill in a Weldoc request! This could reduce your waiting time down to literal minutes.
- The JHU Library Catalog will provide you with the availability information of the print journal title, and it will also provide a link to the electronic title.
- By visiting the eJournals web page, you can browse the available electronic titles.
- PubMed Linkout is an excellent method of filtering those titles that are available electronically from Welch. If you wish to learn more details of how to do this, visit the PubMed Splash page (this page will be updated soon).
Process for ordering documents using Weldoc
1) Create a Weldoc Account
In order for you to be able to access any materials, you need to set up a Weldoc account. This feature is limited to current students, faculty and staff of the Johns Hopkins Medical Institutions.
- Register at http://weldoc.welch.jhmi.edu/weldoc/logon.html
- Click on the link for "First Time Users"
- Read the disclaimer and copyright information and proceed to "First Time Users Click Here" button.
- Enter all required information.
- Once you are certain that all information has been entered, click on the "Submit Information" button. Your browser will then take you to the Weldoc main page. You have successfully completed your registration!
2) Ordering Materials Through Weldoc Using the Request Types Menu
- Your username should appear at the top of the Weldoc Main Menu.
- Always make sure that the book or journal you need is not available at a JHU Library or that the journal article you seek is not available online in the Welch electronic collections. You can accomplish this by either browsing the eResources Web site or by searching our online catalog, Horizon. These links are also available on the main Welch Web page. Horizon can also be access from Weldoc, by clicking on the "JHU Libraries Catalog" link, located to the far right of the "Request Types" menu to search Horizon.
- If the materials you need are not available, proceed by clicking on the appropriate "Request a...." button located in "Request Types" menu.
- Fill in all required information from your citation and then click on the "Submit Request" button located at the bottom of the page. Your browser will now take you back to the Weldoc Main Menu page. You may either submit another request or you may exit, by clicking the "Exit Weldoc System" button located in the upper right hand corner of the screen. Remember that Weldoc can process only 5 requests per day.

3.) Retrieving Ordered Materials
Materials can be retrieved in one of two ways depending on their format.

If you have ordered a document to be received electronically, you can access your document by clicking on this button, located in the "Review Requests" menu.. You will be notified of the receipt of a document via the e-mail address you submitted when you registered with Weldoc. Once you received notification, you can log into Weldoc, navigate to this button, click, and then retrieve your documents. Your documents will be in PDF format. You will need Adobe Acrobat Reader 4.0 or 5.0 to view your articles. The reader can be downloaded from the Weldoc Web site (see below). Your articles will be available here for up to 30 days after receiving e-mail notification.
- Books or other materials that are inaccessible electronically:
You will receive e-mail indicating that your materials are ready for pickup at the Welch Service Center of the Welch Medical Library.
4.) Other Features of the Weldoc System
- The "Review Personal Information" Menu
Click this button and you can view/modify all items that you requested through Weldoc.
This feature of Weldoc allows the frequent user to manage the number of books and or other materials ordered from other libraries. Not only can the number of items checked out be viewed here, but they can also be renewed. Items can only be renewed twice unless the lending library specifies that the requested materials are not to be renewed. Once an item has been renewed too many times, the user will be prompted to visit the ILL Department at the Welch Library.
By selecting this feature, you will be able to see your Weldoc history. It provides you with a detailed list of information about the item that you ordered either electronically or from another library.
This feature allows you to actually resubmit items that you either accidentally canceled or decided might not be a bad article or book to read after all. By clicking on this button, choose the item of interest, and click on the Resubmit Request button in the upper right hand corner of your screen.
The journal articles requested via Weldoc will be electronically delivered in PDF format. You will need to download the Adobe Acrobat Reader (4.0 or 5.0) to view your articles. If you click on this link you will be able to download the reader most appropriate for your computer.
This menu of options allows you to change the information that you have entered into Weldoc when you registered or to change your password.
